This screen is accessed via the "Add" or "Modify" buttons.  If you don't wish to make any changes, simply click the "Cancel" button.  If you are adding a new record, fill in the fields and click the "Update" button.  If you are modifying the record, make the changes you require and click the "Update" button.


Username

Enter the person's name into this field.  When the user logs into the system, this will be the "Username" they will have to enter.  This field is not case sensitive.


Password

As for the above, this will be required when the user logs into the system.  Note that the password must be a minimum of 6 characters, and at least 2 of these must be numeric digits.  For example, valid passwords are:

    Fred56

    5fred6

    567fred

The "Password" field is case sensitive, and for security reasons, the actual password will not be displayed whilst you are entering it.


Initial passwords will expire the very first time they are used. This will fore users to create their own secret passwords rather than one which has been allocated by a system administrator.


All passwords will expire automatically every 90 days. When a password has expired, the user will be required to enter a new password when logging in. As a reminder- please DON'T allow windows to remember passwords or write them down as this is bad practice and defeats the object of security.


Confirm Password

Please re-enter the password to confirm that you have not made a mistake when entering the password field.


Access Level

Please enter the type of access that this user will be allowed to have. If your centre does not belong to a subgroup, region or group, you will only be allowed to select centre as the option.


Centre - means that this user will be able to access this centre only

Subgroup - means that this user will have access to all the centres in the subgroup that this centre belongs to.

Area - means that this user will have access to all the centres in the area that this centre belongs to.

Region - means that this user will have access to alf the centres in the region that this centre belongs to.

Group - means that this user will have access to all the centres in the group that this centre belongs to.


Barcodes

If you wish this user to be able to update Barcode information, select YES, otherwise select NO


Batch Receipts

If you wish this user to be able to do batch receipts, select YES otherwise select NO.


Billing

If you wish this user to be able to access the Accounts Processing section, select YES, otherwise select NO.


Centre Information

If you wish this user to be able to update centre information, select WRITE. If you wish this user to be able to view centre Information only, select READ. If you wish this user to have no access to Centre Information, select NO.


Centre Options

If you wish this user to be able to update centre options, select WRITE. If you wish this user to be able to view centre Options only, select READ. If you wish this user to have no access to Centre Options, select NO.


License

If you wish this user to be able to update License Information, select WRITE. If you wish this user to be able to view License Information only, select READ. If you wish this user to have no access to License Information, select NO.


Calendar

If you wish this user to be able to update the calendar, select WRITE. If you wish this user to be able to view the calendar only, select READ. If you wish this user to have no access to the calendar, select NO.


Funding Rates

If you wish this user to be able to update funding rates, select WRITE. If you wish this user to be able to view funding rates only, select READ. If you wish this user to have no access to funding rates, select NO.


MOE Advance

If you wish this user to be able to update MOE Advance amounts, select WRITE. If you wish this user to be able to view MOE Advance amounts only, select READ. If you wish this user to have no access to MOE Advance amounts, select NO


Child Information

If you wish this user to be able to update Child details, select WRITE. If you wish this user to be able to view Child details only, select READ. If you wish this user to have no access to Child details, select NO.


Credit Notes

If you wish this user to be able to update or create credit notes, select WRITE. If you wish this user to be able to view credit notes only, select READ. If you wish this user to have no access to Credit notes, select NO.


Fees & Products

If you wish this user to be able to update Fees and Products, select WRITE. If you wish this user to be able to view Fees and Products only, select READ. If you wish this user to have no access to Fees and Products, select NO.


Financial Reports

If you wish this user to be able to view Financial reports, select YES, otherwise select NO.


Funding Reports

If you wish this user to be able to view funding reports, select Yes. If you wish this user to have no access to funding reports, select NO.


Invoices

If you wish this user to be able to update or Invoices, select WRITE. If you wish this user to be able to view Invoices only, select READ. If you wish this user to have no access to Invoices, select NO.


Journals

If you wish this user to be able to update Journals, select WRITE. If you wish this user to be able to view Journals only, select READ. If you wish this user to have no access to Journals, select NO.


MOE Reports

If you wish this user to be able to view MOE reports, select YES, otherwise select NO.


Other Utilities

If you wish this user to be able to access utilities such as Labels, letter writer, Upload files etc. select YES. Otherwise select NO.


Receipts

If you wish this user to be able to update Receipts, select WRITE. If you wish this user to be able to view Receipts only, select READ. If you wish this user to have no access to Receipts, select NO.


Reversals

If you wish this user to be able to update Reversals, select WRITE. If you wish this user to be able to view Reversals only, select READ. If you wish this user to have no access to Reversals, select NO.


Staff Information

If you wish this user to be able to update or staff information, select WRITE. If you wish this user to be able to view staff information only, select READ. If you wish this user to have no access to staff information, select NO.


Staff information includes staff details and time sheets.


Statements etc.

If you wish this user to be able to view and print statements, select YES. Otherwise select NO.


Users

If you wish this user to be able to update User Information, select WRITE. If you wish this user to be able to view User Information only, select READ. If you wish this user to have no access to User Information, select NO.


Disputes

If you wish this user to be able to update Disputes, select WRITE. If you wish this user to be able to view Disputes only, select READ. If you wish this user to have no access to Disputes, select NO.


Group Reports

If you wish this user to be able to view Group reports, select Yes. If you wish this user to have no access to Group reports, select NO.


General Notes

If you wish this user to be able to create and change general notes, select Yes. If you wish this user to have no access to General notes, select NO.


Child Notes

If you wish this user to be able to create and change Child notes, select Yes. If you wish this user to have no access to Child notes, select NO.


Staff Notes

If you wish this user to be able to create and change Staff notes, select YES. If you wish this user to have no access to Staff notes, select NO.


Parent's Password

If you wish this user to be able to reset passwords for parents in the Parent Portal module, select YES. If you wish this user not to be able to reset parents passwords, select NO.


Autopayments

If you wish this user to be able to create, update and delete autopayment details for parents, select WRITE. If you wish this user to be able to view autopayment details only, select READ. If you wish this user to have no access to autopayments, select NO.


GoText!

If you have subscribed to the Info-txt text message system and you wish this user to be able to send text messages to parents and staff, select YES. If you wish this user not to be able to send text messages to parents and staff, select NO


ECE Return

If you wish this user to be able to complete details for and send ECE Returns (Old RS61) to the Ministry of Education, select YES for this option.


RS7 Return

If you wish this user to be able to complete details for and send RS7 Returns to the Ministry of Education, select YES for this option.


Sign In Sheets

If you would like this user to have access to sign in sheets, please select the appropriate access level. This is particularly relevant for homebased users - please see the section below under "Select Home"


Dashboard

If you wish this user to be able to view the Dashboard, select YES otherwise select NO.


GoEnquiry!

If you wish the user to be able to Enquiries, select WRITE. If you wish the user to be able to view the Enquiries only, select READ. If you wish the user to have no access to Enquiries, select NO.


Discounts

This option determines whether a user is able to enter or modify discounts on the child's timetable. Set this option to no if you don't want the user to have this access. Set this option to yes if you do.


GoMobile!

If you would like this user to be able to access the GoMobile! App, select YES, otherwise select NO


GoMobile! Staff Hours

If you would like this user to be able to update staff hours using the GoMobile! App, select YES, otherwise select NO.


If you select yes, once you click the "Update" button, you will be asked to select which staff member's hours this user can update.


Make this user's access same as

If you wish to make this user's profile and access levels identical to another user previously defined on the system, select the appropriate user from the drop down box.


Update

To update the system with the information you have entered on this screen, click the "Update" button.


Cancel

To discard changes to the information on this screen, click the "Cancel" button.


Select Home

For Home based networks, when adding or modifying a user, you are able to specify the users/educators home once you have clicked "Update". If you do this the user will only be able to create/update etc. sign in sheets for that particular home. You will need to set the access level for Sign In Sheets to Write or read for this user depending on what you require.
