When accessed using the "Add Enquiry" button, this screen enables you to enter all the details for a new parent enquiry.


When accessed using the "Modify" button, this screen enables you to update any previously entered data for the parent enquiry, update the status of the enquiry; and, if the status is set to "Waiting List", you are able to automatically enrol the child in a selected centre by clicking the "Enrol Child" button.


Please note that children who are enrolled in a centre using the "Enrol Child" button will be placed on the "Waiting List" in the selected centre. You will need to "Switch" to that centre and move the child from the "Waiting List" to "Current Enrolments" or "Children not started".


Don't send Email

Tick this box to prevent an email from being sent when a new Enquiry is entered.


Archived

If you are modifying an existing Enquiry, you can set the enquiry to "Archive" status by selecting the "Archived" check box and then clicking "Update".


To restore the Enquiry back to being current, simply uncheck the "Archived" check box and then click "Update".


Status

The current status of the Enquiry can be updated by selecting from this drop-down box. 


If you have used the "Add Enquiry" button to get to this screen, the "Status" will be set to "New" by default.


If you have used the "Modify" button to get to this screen, you will be able to update the status by selecting the appropriate option from the drop-down list.


Origin

Using the "Origin" drop-down box, you are able to specify where the Enquiry originated from.


If the Enquiry originated from your website (linked to Infocare), the origin will automatically be set to "Website".


User's comments

Insert any comments you wish to make associated with this Enquiry into this field.


Location

The "Location" drop-down box is used to specify where the person making the enquiry would potentially like their child enrolled at.


For an individual centre, or for a small group of centres, the location options could be each service. For larger organisations, these options can be defined as areas, or regions.


Enquiries can be sent for processing directly to individual services or to specific services based on the area location selected, or to a single service for head office processing.


Locations are defined by our Infocare team, so please contact the Helpdesk if you require any changes to these options.


Parent/Caregiver First Name

Please enter the Parent/Caregiver's first name into this field.


Parent/Caregiver Last Name

Please enter the Parent/Caregiver's last name into this field.


Parent/Caregiver Phone

Please enter the Parent/Caregiver's phone number (landline) into this field.


Parent/Caregiver Mobile

Please enter the Parent/Caregiver's mobile phone number into this field.


Parent/Caregiver Email

Please enter the Parent/Caregiver's email address into this field.


Address

Please enter the Parent/Caregivers residential address into this filed. As you begin typing, the system will suggest addresses from a list of valid New Zealand addresses. Click on the correct address suggested and the remainder of the address fields will be automatically populated.


Input address manually

Check this box if the address is not available in the “auto-complete” Address field.


Address Line 1

Only required to be entered if you have opted to input the address manually.


Address Line 2

Only required to be entered if you have opted to input the address manually.


City

Only required to be entered if you have opted to input the address manually.


Postal Code

Only required to be entered if you have opted to input the address manually.


Country

This is automatically populated as New Zealand.

Select the appropriate option from the drop-down list.


Options available in this drop-down list can be defined, modified and updated in the "Centre", "Centre Options", "Learned From" section of Infocare.

Please enter any questions or comments the parent/caregiver may have about this Enquiry into this field.


Child's First Name

Please the first name of the child.


Child's Last Name

Please enter the last name (surname) of the child.


Child's Middle Name

Please enter the middle name (if applicable) for the child.


Child's Gender

From the drop-down box, please select the gender of the child.


Child's Birth Date

Please enter the birth date for the child. If the birth date is unknown or the child is not born yet, you can leave this field blank.


Child's Starting Date

If you have an idea of when the parents/caregivers would like the child to start, please enter the date here.


Desired days and times of care

If the parents/caregivers know, please indicate which days, AM, PM or both the child will be attending. Please check the appropriate boxes for corresponding days and period.


Please click here to enter a second child

If the parent/caregiver would like to register a second child at the same time, please click this link to add details for the second child.


Please click here to enter a third child

If the parent/caregiver would like to register a third child at the same time, please click this link to add details for the third child.


Update

Once all the details on this screen are correct, please click the "Update" button to save this Enquiry.


Set Reminder

For a reminder to be displayed on the "Notice Board" for a particular date, click "Set Reminder"


Cancel

If you want to discard the information you have entered on this screen and return to the previous screen, click the "Cancel" button.


Delete

If you want to delete this Enquiry record, click the "Delete" button.


Enrol Child

If you want to enrol this child to be moved to the "Waiting List", click the "Enrol Child" button
