Using the Contact Update screen you are able to view, add, or edit details pertaining to the contacts associated with a particular child.
The Contact Update screen is split into 4 sections: Personal Details, Contact Details, Authorisation and Access, and Others. Each of these sections can be accessed by clicking on the relevant tab.
Following each section, click the “Update” button to save the information you have entered before moving on to the next tab.
Items followed by * are mandatory and must be completed
From the Relationship* drop down list, select the relationship type this contact has with the child.
From the Title drop down list, select the appropriate title.
Enter the contact’s first name in the First Name* field.
If known, enter the contact’s middle name in the Middle Name field.
Enter the contact’s last name (surname) in the Last Name* field.
If required, record details of the contact’s identification number (i.e., passport number, driver’s license etc.) in the ID field.
From the ID Type drop down list, select the type of identity document which was recorded.
If required, you are able to record the occupation for this contact in the Occupation field.
In the Comments field, you are able to record any comments that may be useful about this contact.
If this contact has the same address as the child, or the same address as another contact for this child, select the appropriate option from the drop down list and the address details for this contact will be automatically populated.
Check the Input Address Manually box if the address is not available in the “Auto-Complete” address field.
If you have NOT selected "Input Manually", begin typing the address into the Address field. As you type, address matches will be suggested from a list of valid New Zealand addresses. Click on the correct address suggested and the remainder of the address fields will be automatically populated.
Address Line 1* is only required to be entered if you have opted to input the address manually.
Address Line 2 is only required to be entered if you have opted to input the address manually.
City* is only required to be entered if you have opted to input the address manually.
Postal Code* is only required to be entered if you have opted to input the address manually.
Country is automatically populated as New Zealand.
Enter the daytime phone number for this contact in the Daytime Telephone (work) * field.
Enter the evening phone number for this contact in the Evening Telephone (home) field.
Enter the mobile contact number for this contact in the Mobile field. Please note that mobile numbers should be entered using international format (i.e., +6421123456).
Fax
Enter the fax number for this contact if applicable in the Fax field.
Enter the email address for this contact in the Email field.
Check the Email Financial radio button if you would like financial information to be sent to this person (i.e., invoices etc.).
Check the Email Letters and Parent Portal radio button if you would like this contact to receive email communication such as newsletters and parent portal updates from Infocare.
If you are using the GoText option and would like this person to be able to receive text messages from your Infocare system, check the Text Messages radio button.
If this contact is considered as a Primary Caregiver, check the Primary Caregiver radio button.
If this person is one of the designated emergency contacts for the child, check the Emergency Contact radio button.
If this person has forbidden or conditional access to the child, check the Forbidden/Conditional Access radio button.
If this person has been designated as someone who is allowed to collect the child from your service, check the Allowed to Collect radio button.
If appropriate, select the relevant bank from Bank the drop down list.
If appropriate, enter the branch details related to the Bank in the Branch field.
