Using the Calendar Selection and Update screen you can change or add new details pertaining to events for each day in a month of each year. Events are as defined by the Ministry of Education and may have significant bearing on RS7 information. 

 

It is important that your calendar events are updated correctly prior to submission of RS7s. 

 

Month

Select the required month from the drop down list.

 

Year

Select the required year from the drop down list.

 

 

Previous Month

If you wish to navigate to the previous month, click the  icon. Any changes you have made to the current month will be saved before you are taken to the Previous Month

 

Next Month

If you wish to navigate to the next month, click the icon. Any changes you have made to the current month will be saved before you are taken to the Next Month

 

Dates

Select from the drop down list of "Ministry of Education defined events" for the appropriate days in the month.

The list of events include:

                                                                                                               

Statutory Holiday

Select this for all Statutory Holidays.

No funding will be claimed

School Holiday

Select this for all days that your service will be closed during your own holiday periods (i.e., when you close for holidays in December).

No funding will be claimed

Anniversary Day

Select this for all anniversary days in your region

No funding will be claimed

Emergency Close

If your service was required to close for an emergency (fire, flood etc.), select this option.
  Any days that have been selected as "Emergency Close" will be highlighted in red on the RS7 form and you will be prompted to attach a copy of the letter you have received from the Ministry approving the emergency closure.

You may be able to claim funding for this day, but you will require documentary proof of the emergency. You should also mark all children as "Absent" on the sign in sheets.

Not Funded

If you have been informed that this day will not be funded for any reason not covered by the other options, select this option.

No funding will be claimed

Not Met Person Responsible Requirement

Select this option if you have not met the Person Responsible Requirement on this day.

No funding will be claimed

Service Closed

Select this option if your service has been closed.

No Funding will be claimed

Sub/Extra Day

Select this option if this is a substitute or an extra day.

No Funding will be claimed

Teacher Day

Select this option if this is a Teacher Only day.

No Funding will be claimed

University Holiday

Select this option if it is a University Holiday and your service will also have a holiday on this day.

No Funding will be claimed

Service Open - Holiday Period With No Attendances

Use this option if your service is open on a public holiday, but no children attend. You should also mark all children as "Absent" on the sign in sheets.

Funding will be claimed

EC12 Service Open - with attendance

Use this option if your region has been placed into lockdown by the Government but you are allowed to stay open, and you have had some children attend. Frequent absence and 3 week absence rules will be suspended for this day.

Funding will be claimed

EC12 Service Open - no attendances

Use this option if your region has been placed into lockdown by the Government but you are allowed to stay open, and you have had no children attend. Frequent absence and 3 week absence rules will be suspended for this day.

Funding will be claimed

 

For days where an event has been selected, the type of event will be displayed with a pink background (e.g.School Holiday).

 

Centres to be updated

If you require the same information to be updated to other services in your subgroup or group, and if you have the correct level of access assigned, select from the drop down list the appropriate response. 

 

Update

When you have completed entering the required information for this screen, click the Update button to save the information and return to the calendar select screen.
