Using the Staff Roster update screen, you can allocate various activities to an employee for periods during the day. You can also update Worked times for the employee if they were different to Rostered times.  

If you would like to remove an employee from the roster for the day, please click on the Delete button at the bottom of the screen.

If you would like to allocate activities outside of your usual operating times, and if the times are not available on the screen, click the Show More Hours button. Alternatively, if extended hours are displaying on your screen and you would like to show only those hours of operation, click the Show Less Hours button.

If you would like to make all of the worked times the same as the rostered times, click the Same As Rostered button.

Using the Attendance drop down list, you can mark the roster/time sheet for an entire day with any of the following options:

Present - This is the default option and all of the employees rostered. Worked times will display and be available for update.

Practicum - Select this option if the employee is on practicum for the entire day. Worked times will be automatically updated to practicum.

Absent (LWOP) - Select this option if the employee has been absent on this day and will not be entitled to pay or leave pay.

Annual Leave - Select this option if the employee is on annual leave for this day. Worked times will be automatically updated to Annual Leave. Worked times will be automatically updated to Absent (LWOP)

Sick Leave - Select this option if the employee is on sick leave for the entire day. Worked times will be automatically updated to sick leave.

Bereavement - Select this option if the employee is on bereavement leave for the whole day. Worked times will be automatically updated to bereavement.

Maternity Leave - Select this option if the employee is on Maternity Leave for the entire day. Worked times will be automatically updated to Maternity Leave.

Public Holiday - Select this option if this is an official public holiday. Worked times "for this employee only" will be automatically updated to public holiday.

If you would like to record any Comments about this roster/time sheet, enter them in the Comments field.

If you wish to make the times for this staff member the same as another staff member on a particular day, select the name of the staff member from the Copy From drop down list and then click the Same As button. 

If you have allocated any of your available discretionary hours for the current funding period, details of what has been allocated will be displayed under Used Discretionary Hours.

Using both the Rostered and the Worked columns, you can allocate activities to a staff member for every 15 minute period of the day. For example, if you would like to record that the employee worked from 09:00am to 12:00pm and they were in Contact with the children for that period, in the row for 9:00 click on the down arrow and select Contact from the drop down list. Scroll to 12:00 and click on the down arrow and select Finished if they have finished for the day, or whatever activity the employee did next.

Please ensure that you are updating the correct column Rostered or Worked.

Once you have completed entering the information you require in this screen, click the Update button to save the information and return to the previous screen.
