The Barcode Update screen is used to validate and correct children and their attendance times which have been captured by the barcode capture module. Children who have been highlighted in Red indicate that the captured data are not valid. Children who have been highlighted in Yellow indicate that the data are valid; however, it should be checked because either the booked times are different to the actual times or there is something else unusual about the times for that child. 

A list of the children's names will be displayed in the Child column. All of the children who are on the sign in sheet for this day will be listed here, regardless of whether or not they have been scanned. This is so that those children who were absent can be marked as absent on this screen, rather than having to modify the sign in sheets separately. Children will be grouped by the various categories in which the sign in sheets were created. For example, if sign in sheets were created by room and your service has a blue room and a green room, children in the blue room will be displayed first and children in the green room second. 

The child's Booked From time will be displayed in the Booked From column. This time will be taken from the sign in sheet for that day. 

The child's Booked To time will be displayed in the Booked To column. This time will be taken from the sign in sheet for that day. 

The child's Start time will appear in this field. If the child has been scanned and the Start time is different to the booked time, the field will be highlighted yellow. There may also be other reasons why the field is highlighted yellow. If the time in this field is not correct, the field can be edited. Each child may have up to 2 valid start and finish times captured each day. The format for entering times is HH:MM, HH.MM, H:MM, H.MM, HHMM, or HMM. 

The Child's Finish time scanner will appear in this field. If the child has been scanned and the Finish time is different to the booked time, the field will be highlighted yellow. There may be other reasons why the field is highlighted yellow. If the time in this field is not correct, the field can be edited. Each child may have up to 2 valid start and finish times captured each day. The format for entering times is HH:MM, HH.MM, H:MM, H.MM, HHMM, or HMM.

The Attendance field will display the child’s attendance status. If the child was absent for any reason, or if you want the system to ignore the barcode times for this child, select the relevant option from the Attendance drop down list. By default, the child will be set to Present. Options available are:

Don't Update – Select this option if you want the system to ignore the barcode times for this child. The times that were on the sign in sheet for that day will be retained. 

Exclude – Select this option if you wish to exclude this child from the sign in sheet for that day.

Absent – Select this option if you wish to mark the child as absent for that day.

Holiday – Select this option if you wish to mark the child as on holiday for that day.

School Visit – Select this option if you wish to mark the child as on School Visit for that day.

Using the Funding drop down list for each child, you can choose from a variety of Funding options .The default option for each child is set to normal funding unless the child's enrolment or timetable specify that the child is a casual enrolment. Other options available are: 

Normal Funding – Select this option if there are no special funding requirements for the child on this day, and the system can calculate funding based on the child's timetable and enrolment data. This is the default option.

Casual Funding – Select this option if you need to change the child to casual funding on this day for any reason. For example, the child has broken the frequent absent rules for 4 months in a row.

No Funding – Select this option if you would like this child to not be funded for this day. Children who have been set to no funding will be highlighted in orange when you next access this screen.

Once you are sure that the correct details appear for each child, click the Update button to Update the actual attendance times, attendance status, and funding information in the Daily Sign In Sheets.

If you wish to discard the information you have entered on this screen, click the Cancel button to discard your entries and return to the previous screen.
